Three things to know

calcAI keeps pricing control with your team while making quoting quick for reps.

01

Admins build and publish

Start from a template or upload a price book. Review the draft, test known-good quotes, then publish.

02

Reps price live

Choose the customer’s products, terms, seats, usage, and discounts. The deterministic engine updates the total.

03

Approvals protect margin

Discounts above rep authority pause before finalization and go to the right approver with the numbers attached.

Set up your quoting system

Most teams can go from signup to a reviewed calculator in one focused session.

Create the workspace

Sign up with your company name and work email. Save your tenant URL and accept the current legal documents when prompted.

Invite the team

Add admins, reps, and viewers from Users. Keep admin access limited to people who own pricing or workspace settings.

Choose a starting point

Use one of the eight templates for a quick start, or upload your price book so AI can draft products, tiers, discounts, and approval rules.

Review, test, publish

Compare the draft with the source price book, add golden quotes, preview the branded document, and publish only after the validation gate passes.

Daily workflow

How a quote moves

The path is simple and auditable: draft, price, approve when needed, finalize.

For reps

Open a published calculator, enter the account and opportunity, select the products and terms, review the line items, and save the quote. If the discount is within authority, finalize the customer document.

For approvers

Open Approvals, review the requested discount and margin impact, then approve or send the quote back with a reason. The decision is recorded in the audit history.

Good to know: Re-finalizing the same quote does not charge it twice. Sandbox hosts produce watermarked, unmetered output for safe testing.
Answers

Common questions

Search above or scan the topics below.

Why can’t I publish my calculator?

Open the publish report and fix the first validation or golden-quote mismatch. Check identifiers, tier boundaries, required inputs, and expected totals before trying again.

Why is my quote watermarked?

Your workspace may still be in trial or grace, your plan may not allow clean output, or you may be using a sandbox hostname. Check Billing and Usage.

Why did my CRM quote not arrive?

Check the CRM connection status, target object, provider permissions, and quote sync status. Reconnect only after confirming the target and credentials.

I can’t sign in. What should I check?

Use your company’s tenant URL, confirm your credentials, and complete any legal attestation prompt. Ask an admin to confirm that your account is active.

Which role should I give someone?

Admins manage pricing and settings, reps create and finalize quotes, and viewers have read-only access. Give admin access sparingly.

What should I send support?

Send your workspace subdomain, user email, calculator or quote ID, approximate time, exact error, and reproduction steps. Never send passwords, session tokens, API keys, or CRM secrets.
